This is a newly created part time role working with Neobe Therapeutics.

Hybrid, flexible working is offered with the requirement to visit our office within the Stevenage Bioscience Catalyst, in Stevenage, Hertfordshire.

Neobe Therapeutics is an innovation-driven Biopharmaceutical start-up developing the next generation of therapeutics in Oncology. At Neobe we are engineering safe strains of tumour colonising bacteria to locally remove stromal barriers to infiltration in immune excluded tumours. Bacteria have been shown to colonize, proliferate and deliver payloads to tumours, making them the ideal candidate for this approach. We are designing them to respond to the local tumour physiological conditions to ensure localised delivery of a stromal remodelling payload.

Role Summary:

The role of Executive Assistant will be to provide proactive administrative and secretarial support primarily to the CEO and CSO. The EA will also oversee the implementation of specific events and other administrative projects.

Experience working in a commercial biotechnology company, particularly within a small start-up entrepreneurial environment. Familiarity with Innovate UK grants and the claim submission process desirable, but not required. 

Main responsibilities

  • Provide calendar and diary management support to the CEO & CSO, managing conflicts and identifying solutions to scheduling issues

  • Ensure confidentiality of internal and external information of the company’s Board and Executive Team is appropriately maintained

  • Compile Board papers and ensure they are sent in good time for meetings. To circulate reports, minutes and agendas for Board and Sub-committee meetings.  To liaise with the Chairman and other Board Members on various matters as required

  • Provide a friendly and professional first point of contact across the various stakeholder relationships of the company (including investors, board members, academic and industrial collaborators/partners)

  • Manage, maintain and organise filing system and other relevant areas as necessary

  • Oversee the coordination of the Executive Team and other team members travel arrangements in adherence to current policies and budgets

  • Oversee the process for expense reports for designated team members as necessary and provide support to the site and training on the tools related to the submission of expenses

  • Oversee and manage Conference registrations and membership renewals for professional organisations for designated team members

  • Work closely with our People & Culture Consultant to support initiatives and projects including Recruitment, Onboarding, facilitation with Training and Internal Communications

  • Take ownership for the facilitation of meetings on and off site and any minutes and actions identified.

  • Take ownership for the administration of a database of scientific references and maintain an automated literature search, under the guidance of the CSO and scientific team

  • Overseeing and maintaining Office and Laboratory purchasing,  supplier queries and urgent payments
